About Us:
Al Dafna Financial Services is a reputable financial institution committed to delivering high-quality investment, advisory, and asset management solutions. We operate in a highly regulated environment where accuracy, confidentiality, and compliance are essential. We are currently seeking a detail-oriented and organized Document Controller to manage and maintain our critical documentation systems and support the company’s operational and regulatory requirements.
Role Overview:
As a Document Controller, you will be responsible for the efficient management, organization, and control of all company documents, including financial records, client files, contracts, and regulatory submissions. You will ensure that all documents are properly filed, version-controlled, and easily accessible while maintaining the highest standards of confidentiality and compliance. The ideal candidate has strong organizational skills and experience working in a financial or corporate environment.
Key Responsibilities:
- Establish and maintain an effective document management system for all company records, including financial statements, client agreements, and internal policies.
- Control the creation, review, approval, distribution, and archiving of documents in accordance with company procedures.
- Ensure proper version control and track document revisions to prevent the use of outdated information.
- Manage both physical and electronic filing systems, ensuring documents are securely stored and easily retrievable.
- Support internal and external audits by providing accurate and complete documentation upon request.
- Maintain confidentiality of sensitive financial and client information in line with data protection regulations.
- Assist departments with document preparation, formatting, and submission for regulatory and compliance purposes.
- Monitor document retention schedules and coordinate the secure disposal of outdated records.
- Generate regular reports on document status, compliance, and system usage for management review.
Qualifications & Requirements:
- Bachelor’s degree in Business Administration, Finance, Information Management, or a related field.
- Minimum of [3-5] years of experience as a Document Controller, preferably in the financial services, banking, or professional services sector.
- Strong knowledge of document management systems and electronic filing tools (e.g., SharePoint, Documentum, or similar EDMS).
- Excellent attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
- Understanding of document control principles, version management, and compliance requirements.
- Good command of English (written and spoken); Arabic is an advantage.
- Ability to handle confidential information with integrity and discretion.
